“Is there something wrong with this machine?” – Our biggest fear turned into a “hahaha”
A real-life story that shows coffee equipment distributors what end customers truly need
How many times have you taken this call as a coffee equipment distributor?
“Hi, I programmed the single and double shot times without the portafilter, but when I put coffee in the portafilter, it still brews at the default time. Is my machine broken?”
As an importer or distributor, you know the feeling. Your customer’s hidden question: “Did I buy the wrong thing?” Handled poorly, it leads to returns, bad reviews, and lost long-term business.
We recently had a real customer using our small-space basic combo (80–120 cups/day – espresso machine + grinder + auto tamper). He started with the same question – but he didn’t return the machine. Instead, he sent us this (typos and all):
“Yes. We can program the brewing time without the porta filter for single and double shot but with coffee in portafilter already is will still brew as per default setting. But what we do is just stop it when our desired espresso weight is achieved. So far we are getting good espresso compared to manual P. But we like the grinder and tamper so far working just fine.”

▲ Customer conversation (personal info removed)
Notice: he already found a workaround – start with the preset, stop manually. He just needed confirmation: “Is this right?”
What he didn’t realize: The machine can stop automatically at a preset water volume – but only if you program it with the portafilter locked in and coffee dosed, following the normal workflow. He had tried to program it without the portafilter, so the settings didn’t save properly.
We explained the correct sequence: “Grind, dose, tamp, lock the portafilter, then set the time/volume. That’s how the machine learns.”
His reply:
“Oh i see, hahaha… Thanks Carol”
Three takeaways for coffee equipment distributors
1. They don’t need “high-tech” – they need “I get it” relief
Your end customer wants a machine with real depth but manual control. Just like this customer, who could decide exactly when to stop the shot. A basic setup should be compact, not dumbed down.

2. Full-category supply beats selling a single machine
Notice the customer’s own words: “we like the grinder and tamper so far working just fine.” If you only sell the espresso machine and source the grinder elsewhere, who does he call when something feels off?
That’s why our offering goes beyond that one basic combo (single-group + grinder + auto tamper). We also provide:
- Mid-range: Dual-group machines + larger burr grinders + auto tamper
- High-end: Multi-function, multi-boiler machines + grind-by-weight grinders + more
One supplier for the whole workflow. Fewer disputes, happier end customers – that’s what every coffee equipment distributor needs.
3. One real “hahaha” is worth ten lab reports
Tell this story (with personal info removed) to your next cafe client: “A small shop like yours was worried at first – then they figured it out and texted ‘hahaha… Thank you.’ This is the combo they used. Want to try it?” Authenticity + laughter = trust you can’t fake.
